Sharing a Google Calendar

Before you begin

This tutorial will guide you through the steps to share a Google Calendar with other Triton Email/Employee Email accounts. You can also follow along through the accessible photo guide here: Sharing a Google Calendar

  • To follow this guide, you will need to have access and be logged in to your student or employee email account

Steps

  1. Once logged into your student or employee account, select the Google Apps icon (located at the top right corner, beside your profile picture) and click Google Calendar
  2. You will see your Google Calendar. In the left panel, locate the calendar you want to share under My Calendars or Other Calendars (note: sharing options for some calendars may be limited based on your permissions). Click the three-dot menu next to the calendar, then select Settings and sharing.
  3. On the settings page, locate the “Share With Me” section and then select “Add people and groups” to share your calendar
  4. When sharing, you can select the accounts' permissions/access. Select the permission best suited for the user.
    1. See only free/busy (hide details): *Allows the recipient to view Calendar events while hiding details and addresses, and say whether they will make it or be busy.
    2. See all event details: Allows the recipient to view Calendar events with details and addresses, and say whether they can make it or are busy.
    3. Make changes to events: *Allows the recipient to view Calendar events with details and addresses, and say whether they can make it or are busy. As well as make changes to the events.
    4. Make changes and manage sharing: *Allows the recipient to view Calendar events with details and addresses, and say whether they can make it or are busy. As well as make changes to the events and share the calendar with other users.
  5.  Once everything is complete, click the Send button. This will send an email to the recipient with a link to the calendar asking if they would like to join.

Repeat Steps 3-6 to add additional users to access the calendar if needed.

Making a Google Calendar Public

Proceed with caution

Although the IT standard is only to share the calendar within the organization (Edmonds College), you may, under certain circumstances (and only if necessary), make a calendar public. 

  • This may be useful if you are sharing an event calendar for individuals outside the organization or individuals without Google Accounts 
Steps
  1. On step #3 above, select the “Make Available for the public” checkbox. A warning will pop. Once accepted, you will get a shareable link.
